Facilities Coordinator/Analyst

The position is part of a team responsible for first point of contact for incoming Repair & Maintenance work for building and equipment at shops across the network, serving as a liaison between company employees and outside contractors. Functions including daily service support between internal customers to dispatch suppliers/ contractors and/or service providers with an emphasis on managing ongoing maintenance programs such as Landscaping, Snowplow, Security, and routine equipment maintenance programs. This position is also responsible for preparation of data collection, KPI reporting, capital spend tracking, special projects/tasks and will respond to ad-hoc requests for data or analysis from business partners and/or management.



Major Tasks, Key Responsibilities and Key Accountabilities:




* The Facilities Coordinator will work closely with the AVP Construction & Facilities and Sr. Facilities Manager to support all facilities activities.
* Oversight of 3rd Party Security Vendor at 330+ locations nationwide
* Oversight & Management of Landscaping/Snowplow services
* Responsibility to build/evaluate/implement/manage new routine maintenance agreements for standard equipment (ie compressors) across the network.
* Create reoccurring work orders for preventative and planned maintenance
* Track/Facilitate and Report on Capital requests associated with Facilities
* Provide monthly R&M KPI reporting
* Primary Internal customer contact for any NSC (National Support Center) needs
* Responsible for maintaining and updating NSC office assignments, security access control, etc..
* Primary liaison between Service King and NSC land lord.
* Respond to urgent maintenance calls and participate in the creation of emergency preparedness plans.
* Reconciliation validation to ensure completed work matches approved work order and supplier invoice charges
* Coordinators communicate daily with supply vendors and update company leadership regularly.
* Administrative assistant capacity support role
* Collaborate with management from various departments within the organization and outside: Stores; AP; Safety; Finance, etc.,
* Assist with special projects and additional tasks as needed



Education and Certifications:




* High School Diploma Required
* Associates/Bachelor's Degree Preferred
* Facilities Maintenance Certifications a plus



Work Experience:




* Multi-Unit Maintenance and/or Analyst experience
* Administrative background and experience


* Advanced computer technical skills (such as MS Excel, MS Word; MS PPT)
* Service Channel Experience preferred, but not required
* Ability to be a multi-tasker
* Ability to be agile and quickly solve problems without daily supervision
* Excellent problem solving and critical thinking
* Strong analytical and quantitative skills
* Strong attention to detail
* Role is expected to have independent judgment Understanding of multiple business processes, a plus Role does not have any supervisory responsibility.
